This policy outlines the procedure followed by the Queensland Academies in relation to the enrolment of students at the Queensland Academy for Creative Industries, the Queensland Academy for Health Sciences and the Queensland Academy for Science, Mathematics and Technology campuses. This policy aligns with the DET approved Enrolment Eligibility Plans for each of the three campuses.
Entry point for Enrolment
The Queensland Academies have a single point of entry into the Academy program, which is the start of year 10. There are no, unless covered by the conditions outlined below, mid-course entries to the Academy program.
The application process is designed to be undertaken by students in Queensland in Year 9 (or age or education program equivalent) for entry at the commencement of Term 1 of Year 10.
Students who choose to seek entry into the Queensland Academies after completing Year 10 (or equivalent) are also eligible to apply, but must complete the full three year program.
Students who are seeking entry directly from Year 8 (or equivalent) as an acceleration strategy are requested to submit appropriate evidence of giftedness with their application as per the expectation of Education Queensland’s policy statement: Curriculum provision to gifted and talented students. This policy states that when providing a higher year level curriculum through acceleration, evidence that it is appropriate for this student must be provided. If appropriate evidence is provided at the point of application, students will be invited to participate in a specific pre admissions interview with the Academy Principal or delegate, the campus counsellor and the student’s parents in order to evaluate the student’s readiness to commence the admissions process.
Consideration may be given to students seeking mid-course entry to an Academy from another school where the student is currently studying the International Baccalaureate (IB) Diploma and a case for course continuity can be justified;
The student has not had a previous opportunity to apply for an Academy within the normal application process because of extenuating circumstance or a justifiable and unforeseen change in life circumstance.
In each case above the individual case will be considered by the Academy Principal in consultation with the Enrolment Eligibility Committee, taking into consideration:
- The course entry point being requested
- The academic program being studied prior to application and alignment of this program with the rigour of Academy programs at this course entry point
- The availability of enrolment places
- The suitability of the student against the Queensland Academies selection criteria and the enrolment eligibility plan.
Student Application Process
The application process gathers information regarding the student’s contact details, medical history, educational history, accommodation requirements, previous achievements and aspirations.
The following documents needs to be prepared prior to commencement the selection process:
- photograph of the student
- proof of Australian citizenship or nationality (i.e. birth certificate, passport, and if required, an Australian visa that states that the student’s residency is inclusive of the final exam period at the conclusion of the International Diploma Programme) or is able to be extended to be inclusive of that date.(Note:: If the visa status changes to non-resident, some students may be required to pay international student fees)
- two most recent semesters school reports
- all available NAPLAN results
- payment of non-refundable application fees
- Parent and applicant signatures acknowledging that these guidelines have been read, understood and accepted.
All students’ applications will be acknowledged on receipt and any incomplete information/documentation will be requested before progressing the application through the selective entry process. Incomplete applications will not be progressed to the interview stages.
Complete and correct applications will be registered on the Queensland Academies Admissions database.
Payment of $250 for the entrance test will be done in the week after testing. Please ensure that your credit card details are valid for that process to be undertaken.
Closing dates for applications are posted on the Queensland Academies website. Applications from interstate and overseas applicants who are Australian, Permanent or New Zealand Citizens close two weeks earlier than local applications. This allows arrangements to be made for alternative testing sites.
If an application is received after the closing date for the next testing point, the Queensland Academies Admissions Office will keep the application on file and include the applicant in the next testing date. A letter will be sent to acknowledge receipt of the application and inform the family of this process.
Final date for Application and Commencement at an Academy
The final date for an application to an Academy, after the stated testing points, will be a date in advance of the Day 8 in the Education Queensland school year. This closure date is determined to ensure that all processes associated with selection can be reasonably completed, so that the student can commence at the Academy no later than Day 8 of the given Education Queensland school year.
Students seeking entry after this time are considered mid-course entry applicants.
Student Selection Processes
The selection process seeks to holistically assess the following attributes:
- Demonstrated academic ability
- A high level of commitment ,work ethic and application to study
- Demonstrated capacity for planning, effective organisation and time management
- Demonstrated understanding of the Queensland Academy’s program and International Baccalaureate Diploma
- Very high levels of personal behaviour and citizenship
- Demonstration of personal qualities for success in a rigorous academic program –resilience, determination
- Demonstrated required capacity and capability in the specific area of focus: example sciences, arts.
The assessment of a student’s suitability for a Queensland Academy will include the following processes to explore the attributes listed above:
- Completion of the specified HAST ability test.
Students will sit the test at a designated site on the specified date as advertised by the Queensland Academies or by individual arrangement when the test centre cannot be reasonably accessed
- Analysis of School reports and other academic performance data e.g. NAPLAN results
- An interview by the specific Academy
- Students seeking entry from home schooling environments are encouraged to contact the Queensland Academies admissions office for information and advice regarding the provision of appropriate evidence of capabilities.
- The EEC and Academy Principal have the right to withdraw an offer of enrolment should evidence become available that the student is not able to meet expected standards of behaviour.
The information received from each of the selection processes will be combined to arrive at an overall final entry score for each student.
Re-applying to the Queensland Academies
Students are not eligible to re-sit the HAST test in a given year. However, Year 9 or age appropriate students are eligible to re-apply the following year. In this case, students would be required to complete all components of the admissions process (no previous information should be carried forward).
If a student experiences sickness or an incident which prevents him or her from working to their best ability at the test, they are able to request special consideration from the Admissions Office within five working days of the test date.
The Enrolment Eligibility Committee
The Enrolment Eligibility Committee (EEC) consists of each of the Academy Principals or delegate, one teaching staff representative from an Academy on rotation and one parent representative from an Academy on rotation, and the Manager, Queensland Academies. These officers will have decision making rights in regard to enrolment. Other officers may attend the EEC meeting in order to provide information relevant to the decision making process but do not have an official decision making role.
All students who are not recommended by the interview panel are referred to the EEC for review. Each student’s particular case is discussed and a decision made in relation to offer/non offer/waiting list.
At the EEC meeting, a decision may be made where justifiable circumstances exist, that the Principal or panel will reinterview/audition a student where it can be justified that further information or clarity is required.
Appeals against EEC assessments
Applicants who have been refused enrolment by the Academy Principal on the basis of a report by the Enrolment Eligibility Committee will be notified in writing of the reasons for the refusal by the Manager, Queensland Academies Brand Directorate.
Applicants may seek a formal review of an unsuccessful assessment by making a written submission to the Queensland Academies Enrolment Eligibility Committee. This submission should present evidence to substantiate a claim that the stated criteria have not been applied correctly or fairly.
The Queensland Academies Enrolment Eligibility Committee will, where possible, decide the review and provide written advice to the applicant within 14 days of the applicant’s submission. This decision on the review will be final.
Applications for Student Transfer between Academies
Change of Campus Preference Prior to Commencement
Applicants are made an offer of enrolment for a particular campus for the full three-year duration of the course of study at Queensland Academies. When applicants accept an offer at a campus, they are making a commitment to that campus. If extenuating circumstances arise and the applicant needs to apply for consideration of a change of campus, they and their parents/ caregivers must follow the process below:
- Request a change of campus preference and reasons for request in writing to the Manager, Queensland Academies.
- This request will be tabled with the appropriate campus Principals for permission to proceed or otherwise.
- Students offered a change of campus preference after initial offer will be re – interviewed in the next available round or at an opportunity determined by the Academy to which to applicant wishes to apply. A final decision will be made in consultation with the EEC or at the next EEC meeting if practical.
Inter-Academy Transfer after Commencement
Should a student/parent/caregiver need to consider the student transferring to another campus they need to contact the Academy Principal at their current enrolment location. The Principal at their current location advises the parent of the process and eligibility.
The Principal at the requested site makes a decision whether a transfer is possible and advises the parent requesting the transfer accordingly.
